The role in one line

Own the operating system underneath KINN - the workflows, automations, data, and tooling that allow us to scale with our membership growth and offerings. 

Who we're looking for

You love solving operational problems. Where others see manual work, you see an opportunity to build a better system.

You're highly organized, detail-oriented, and comfortable working behind the scenes. You enjoy designing workflows, implementing automations, and bringing clarity to complex operations.

You're fluent with modern operational tools including HubSpot, Google Workspace, project management software, and automation platforms such as Zapier, Make, and AI-powered tools.

What you'll own

Workflows & automation

  • Design and automate workflows across onboarding, renewals, member engagement, reporting, and internal operations.

  • Build automations across HubSpot, Google Workspace, Stripe, Luma, and future platforms using Zapier, Make, and AI.

  • Help implement AI-powered internal tools and automations that improve team efficiency and member experience.

Systems & CRM (HubSpot)

  • Own HubSpot end-to-end: member-journey workflows (30/90/6-month/annual), pipeline hygiene, lifecycle stages, and attribution from tour → close, with the support of our in-house HubSpot specialist. 

  • Keep one clean source of truth for member data — reconcile across HubSpot, Nexudus, Stripe, and Google Sheets, and kill duplication and broken links.

  • Scope and run the Nexudus → replacement-platform transition: vendor selection, migration, and member rollout in 2027.

Project management & process

  • Run Monday.com (or preferred task management system) as the company's project hub — setting structure and accountability to track projects, team owners, and monitor deadlines during weekly team meetings. 

  • Document the business in clear SOPs and playbooks (sales → onboarding → engagement) so the operation is repeatable, not heroic.

  • Streamline and standardize: continually simplify how work moves through the team.

Data, reporting & finance ops

  • Stand up weekly KPI reporting for the founder team: tour pipeline, conversion %, MRR, churn, engagement score, and ARPU.

  • Ownership of engagement dashboards and lightweight scoring that answer: who's engaged, who's drifting, and where to intervene.

  • Drive the ACH migration away from Stripe credit card processing — roughly $40–$50K/year in recoverable fees sits on this desk — and safeguard billing accuracy.

  • Ensure vendors, software providers, and all systems are tracked and managed. Preemptively looking for cost savings on a frequent basis. 

HR 

  • Provide HR support for new-hire onboarding and offboarding, with support from our third-party HR agency. 

Must-have skills & experience

  • 3+ years operating HubSpot (or a comparable CRM) in a high-touch membership, agency, or SaaS environment — a workflow builder, not just an admin.

  • Hands-on fluency with Monday.com (or similar PM tools) and Google Workspace / Drive as your daily operating environment.

  • Demonstrable automation & AI fluency — has shipped real automations with Zapier/Make, LLM APIs, or internal tooling. Not “interested in AI”; has built things.

  • Strong project management and organizational skills — can run multiple workstreams to deadline without dropping details, while managing shifting priorities and stakeholders.

  • Finance-literate: lives in spreadsheets and dashboards, and can read a P&L.

  • Vendor-management chops: has selected and migrated platforms before, can negotiate terms with vendors.

The temperament

No-ego. Systems-mind. You love to solve problems, you live for the back office, and you take pride in being the person who makes everything run.

Bonus: experience at a membership business (Hampton, Chief, YPO, Soho House ops), a community platform, an incubator (YC, Techstars), or premium hospitality back-of-house.
